This Privacy Policy describes how we collect, use, disclose, and protect personal information in connection with the Kinwise Coach application and website located at kinwise.ai.Kinwise Coach is a professional development tool for K–12 teachers. It is not intended to be used directly by students, and Kinwise does not collect personal information from students. If you are a school or district administrator reviewing Kinwise for institutional use, please contact us to discuss a data processing agreement.By using Kinwise Coach, you agree to the collection and use of information in accordance with this policy.

What We Collect and Why

Account information

When you create an account, we collect your name, email address, and basic professional context — grade level, years of experience, and optionally your school or district name. We use this information to create and manage your account, personalize your coaching experience, and communicate with you about the product.

Lesson plans and conversation content

In Plan mode, you may upload or describe a lesson plan. In Talk mode, you have a conversation with Cindi, our AI coaching agent. We collect and store this content in order to provide coaching feedback and to maintain continuity across your sessions. This content is associated with your account and is not shared with other users.

Classroom audio (Record mode)

Kinwise Coach includes an optional Record mode that allows teachers to capture audio from classroom instruction. Audio is used solely to generate coaching feedback for the teacher and is processed as follows:Audio is transmitted to AssemblyAI, an enterprise-grade transcription provider, for conversion to text. AssemblyAI automatically deletes audio files within 48 hours of processing. We have opted out of all AssemblyAI data-sharing programs.Audio recordings are retained on the Kinwise platform for teacher playback and reference until the teacher chooses to delete them.Audio is never used to train any AI model — ours or anyone else's.Kinwise captures audio only. No video is recorded or stored under any circumstances.

Note on Record mode during our current pilot

During the current pilot phase, we are asking participating teachers not to use Record mode without first obtaining school or district approval. Plan mode and Talk mode are the recommended entry points for the pilot. If your school has provided approval for classroom audio recording, please review this section with your administrator before proceeding.

Usage data

We automatically collect certain technical information when you use Kinwise Coach, including session timestamps, feature usage patterns, device type, browser type, and IP address. We use this information to operate, maintain, and improve the product and to diagnose technical problems.

Student Data

Kinwise Coach collects no student data. There are no student accounts, no student profiles, and no storage of information tied to an individual student's identity.In classroom recordings made through Record mode, student voices may be incidentally captured as part of the classroom audio. These voices are transcribed as part of the recording but are not identified, labeled, stored as student records, or linked to any individual student. Kinwise does not create or maintain a personal profile of any student.We commit to the following with respect to student personal information:Not collect, maintain, use, or share student personal information beyond what is needed for authorized educational purposes.Not sell student personal information.Not use or disclose student information for behavioral targeting of advertisements to students.Not build a personal profile of a student other than for supporting authorized educational purposes.Not knowingly retain student personal information beyond the time period required to support authorized educational purposes.

How We Use Your Information

We use the information we collect to:Provide, operate, and improve Kinwise CoachGenerate coaching feedback from Cindi, our AI coaching agentMaintain continuity of your coaching sessions over timeCommunicate with you about your account and product updatesDiagnose technical issues and monitor product performanceUnderstand aggregate usage patterns to improve the productWe do not sell your personal information to third parties. We do not use your personal information for advertising or behavioral targeting. We do not use your lesson plans, conversation transcripts, or classroom recordings to train AI models.

How We Share Your Information

Third-party service providers

We share personal information with a limited set of service providers who help us operate Kinwise Coach. These providers are contractually prohibited from using your data for their own purposes and may not use your information for AI training, advertising, or any purpose outside the services they provide to us. Our current service providers include:

  • AssemblyAI — audio transcription (Record mode only; audio deleted within 48 hours; SOC 2 Type 2, ISO 27001, PCI-DSS Level 1)

  • Anthropic — AI language model powering Cindi (SOC 2 Type 2)

  • Supabase — database and file storage (SOC 2 Type 2)

  • Clerk — user authentication (SOC 2 Type 2)

  • Netlify — application hosting (SOC 2 Type 2)

Legal requirements

We may disclose personal information if required by law, legal process, or governmental authority, or when we believe disclosure is necessary to protect the rights, property, or safety of Kinwise, our users, or others.

Business transfers

If Kinwise is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. In such cases, we will notify affected users and require the successor entity to honor the terms of this Privacy Policy, or provide users with an opportunity to delete their data before the transfer occurs.

Data Retention

We retain your account information and coaching session data for as long as your account is active. You may delete individual sessions, recordings, or your account at any time (see Your Rights below). Upon account deletion, we will permanently delete all associated personal data within 30 days, except where we are required to retain information by law.Audio recordings processed through AssemblyAI are automatically deleted by AssemblyAI within 48 hours of transcription. Recordings retained on the Kinwise platform are deleted when you delete them or when your account is deleted.

Security

We use commercially reasonable technical and organizational safeguards to protect your personal information, including:TLS 1.3 encryption for all data in transitAES-256 encryption for all data at restRole-based access controls limiting internal access to personal dataThird-party infrastructure providers with independent SOC 2 Type 2 certification

Pilot-stage disclosure


Kinwise is a pilot-stage product and does not yet hold independent SOC 2 Type 2 or ISO 27001 certifications. We are actively building toward SOC 2 Type 2 compliance. All third-party infrastructure providers we rely on hold independent security certifications (listed above). We will update this section as our certification status changes.

In the event of a security breach that may compromise your personal information, we will take reasonable steps to investigate the situation and notify affected users in accordance with applicable law.

Your Rights

You have the following rights with respect to your personal information:Access. You may request a copy of the personal information we hold about you.Correction. You may update or correct your account information at any time through your account settings.Deletion. You may delete individual sessions, recordings, and transcripts from your account at any time. You may also request deletion of your entire account and all associated data.Opt-out of communications. You may opt out of non-essential communications from us at any time by contacting us directly.To exercise any of these rights, please contact us at lydia@kinwise.org. We will respond within 10 business days.

Children's Privacy

Kinwise Coach is intended for use by adult educators only and is not directed to children under the age of 13. We do not knowingly collect personal information directly from children under 13. If we learn that we have inadvertently collected personal information from a child under 13, we will promptly delete it. If you believe a child under 13 has provided personal information to us directly, please contact us at lydia@kinwise.org.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify users by email to their registered address or by posting a prominent notice on kinwise.ai before the changes take effect. We will update the effective date at the top of this policy when changes are made. We will not make material changes that affect the collection or use of student personal information without first notifying affected schools or districts and providing a choice before data is used in a materially different manner.
